River Way Ranch Camp Program
Conditions for Enrollment and Terms of Agreement:
River Way Ranch Camp Program, sometimes referred to as “our or we”: Conditions for Enrollment and Terms of Agreement: The parent or legal guardian of a minor participant, sometimes referred to as “you, your, I, or my” must complete the camper application, and read and agree to these conditions for enrollment.
As identified below, additional information and forms will be available by January 2026, for your required review and completion. As a term and condition of enrollment, parents/guardians are expected to read through these policies and all provided forms, review applicable ones with your child(ren), and ensure your family is able to meet our standards and agree to our policies. River Way Ranch Camp has these policies in place to protect our campers and staff while striving to provide a high quality camp program to our campers and community.
Introduction and Camper Eligibility:
INTRODUCTION: All campers, parents/guardians, and relatives agree to abide by the rules and regulations set forth by the camp for the health, safety, and welfare of the campers and staff within the camp community.
CAMPER ELIGIBILITY: The following standards outline the skills and readiness needed for a camper to fully participate in River Way Ranch Camp. Families with questions about whether this program is the right match for their child are welcome to contact our office for guidance before moving forward with enrollment.. River Way Ranch Camp participants must:
- Be able to walk throughout a 70-acre property in warmer temperatures to reach different activity areas. (The property is paved, with minimal rough terrain and minimal to no incline.)
- Follow a structured schedule in a group setting and remain at their assigned area with their assigned instructors with minimal reminders or redirection.
- Communicate basic needs and follow safety instructions when given by an adult in English.
- Be willing to live without technology, cell phones, and devices that connect to the internet, understanding that the only communication between campers and the outside world is by letter, except for emergencies.
- Solve disputes without violence or verbal abuse, with support and guidance from trained staff.
- Maintain appropriate, non-exclusive relationships with other campers and staff.
- Live in a community, sharing living space and resources with others.
- Be willing to live and be around others who have different viewpoints and beliefs, and remain respectful toward others.
- Manage and practice personal care needs (such as showering, hygiene, using the bathroom) in an age-appropriate manner, with reminders.
- Remain safely under supervision ratios typical of an overnight camp, without requiring constant one-on-one support.
Parents/guardians must disclose any medical, behavioral, or dietary needs in advance and agree to follow all health and safety protocols outlined by the Camp Directors and Health Center staff. Parent/guardian agrees to complete all mandatory camper forms with full disclosure of all requested information.
Payments, Cancellations, Refunds, Force Majeure:
PAYMENTS, CANCELLATIONS, TUITION INSURANCE, REFUNDS, FORCE MAJEURE: Due to the fact that all camping programs are planned prior to the opening of camp, including purchasing camper supplies and equipment, preparation of facilities, and hiring of personnel based on confirmed camper reservations, final payment for full family balances for all sessions is due May 4, 2026. If payment is not remitted in full by May 4, 2026, the default payment method on file will be charged for all remaining balances.
Our cancellation and refund policy is as follows: Until February 1, 2026, families may cancel and receive a full refund of all monies paid. After February 1, 2026, until March 16, 2026, families may cancel and receive a refund, less a $750 nonrefundable, nontransferable deposit (per camper, per session). No allowances, refunds, rollover credits, or rebates can or will be made for cancellations, late arrivals, reductions in session duration, non-arrivals, or early withdrawals occurring after March 16, 2026. River Way Ranch Camp kindly requests all cancellations be made by notifying the camp office in writing via email. Cancellations are not confirmed until a River Way team member has confirmed in writing that the cancellation has been finalized. We advise that families explore trip protection insurance options to provide them with the greatest flexibility, should they need to cancel after the refund deadline. Transportation fees are refundable up until 14 days prior to your camper’s scheduled arrival.
The parent/guardian may change a camper’s session at any time, pending availability in their desired session. Should a child’s enrollment change to a different session or program, the parent/guardian agrees to pay any difference in price resulting from this change. If a parent/guardian reduces a camper’s enrollment after March 16, 2026 (for example, changing from a two-week session to a one-week session), any difference in tuition is nonrefundable and will be forfeited.
River Way Ranch Camp reserves the right to alter any aspect of the camp program, including itinerary, dates, activities or location for reasons including but not limited to weather, environment, health hazards, or for any other reason, River Way Ranch Camp determines, in its sole discretion, is appropriate (including a force majeure event described below). Absent application of the refund policy, above, we will not provide refunds for those choosing to cancel in the event of program alterations. River Way Ranch Camp reserves the right to alter or cancel a program before or after its start date because of an act of God or other political, social, health, environmental or other conditions beyond its control (“force majeure”). Force majeure events include, without limitation: war or terrorism; civil unrest or emergency; economic collapse; governmental or other authorities’ laws, regulations or other actions, including restrictions on travel, floods, fire, or other natural disasters; industrial or biological disasters; and health threats, including disease outbreaks, epidemics or pandemics, such as but not limited to the current or future, but unknown impact of COVID-19 on River Way Ranch Camp operations. If River Way Ranch Camp determines, in its sole discretion, it is unable to perform, in whole or in part, because of a force majeure, River Way Ranch Camp may alter, suspend or terminate its performance, and no refunds will be granted (unless otherwise determined, in River Way Ranch Camp’s sole discretion). In the event of a force majeure, you agree that River Way Ranch Camp will not be found in breach of these terms and/or legally liable to parent/camper for any losses, costs, or damages. River Way Ranch Camp is not responsible for any indirect, incidental, consequential, or other damages, costs, or fees you may incur (including without limitation: locating substitute services, non-refundable airline tickets or change fees, equipment purchased for the program, and/or any other costs).
CAMP TUITION INSURANCE: River Way Ranch Camp strongly advises families to purchase camp tuition insurance to help cover camp fees in the event they want or need to cancel due to scheduling conflicts, illness, etc. Program Protector insurance plans are available during the online application process. Parents are encouraged to review each insurance plan thoroughly to determine what is the best fit for their circumstances. If you have questions about plan options, please call Program Protector directly at 833-297-2258. You may also choose to purchase insurance through another company; Program Protector Insurance is provided by a third-party, and is not directly affiliated with, nor specifically endorsed by River Way Ranch Camp. River Way Ranch Camp does not have information on any insurance purchases, and all claims and disputes must be resolved directly with Program Protector.
Camper/Parent Behavior and Code of Conduct and Dismissal Policies
CAMPER BEHAVIOR AND CODE OF CONDUCT: The camp reserves the right to dismiss any camper whose conduct or influence is harmful, illegal, or includes unsatisfactory behavior, at the discretion of the Camp Director, deemed detrimental to the camp, themselves, and/or other campers. This includes, but is not limited to: sexual or inappropriate relationships, self harm or discussion of self harm and suicidal ideation, violence, teasing, exclusion of other campers, bullying, taunting, discriminating comments, hate speech of any kind, possession of weapons, drugs, alcohol, marijuana or tobacco in any form, contraband items including cell phones and Wi-Fi enabled devices, abusive or disrespectful behavior towards any member of the camp community, or unauthorized absences from the cabin or other activities. In such an event, there shall be no refund in any part of the camp fees, and parents/guardians are financially and otherwise responsible for any additional costs incurred to transport their camper(s) home. In this circumstance, parents/guardians agree to remove their child from the camp program within a maximum of 12 hours.
DISMISSAL FROM CAMP: There may be situations where the Camp Directors, with full awareness of a camper’s needs and after making reasonable efforts to provide support, determine that River Way Ranch Camp is not an appropriate setting for that camper. In such cases, and for the well-being of both the individual and the camp community, the camper may be required to depart camp. Tuition is nonrefundable under these circumstances. In addition, failure to provide complete and accurate information on the Camper Application, Health History, or other required forms, including disclosure of information relevant to a camper’s behavior or needs, may result in immediate dismissal at the discretion of the Camp Directors, without refund of tuition paid.
If a camper must leave camp prior to the end of their enrolled session for any of the following reasons, the parent/guardian agrees to provide the name and contact information of an adult who is available to pick up the camper within 12 hours:
- Dismissal from camp due to behavior(s) determined by the Camp Directors to be harmful to other campers, staff, or to themselves.
- Illness or injury requiring care beyond what the Health Center staff and/or Camp Directors determine can be provided at camp.
- Evacuation of camp for any reason.
PARENT/GUARDIAN CONDUCT: I understand as a parent and/or guardian, I am expected to support all camp policies, rules, and regulations. Further, parents are expected to cooperate with and be respectful toward all members of the River Way Ranch Camp community, including our staff, receptionists, and directors, both on and off site. Unacceptable parent behavior, including actively undermining any camp policy, and/or disrespectful behavior towards any member of our camp community (determined at the discretion of the camp directors), may result in non-renewal or termination of the Camper’s enrollment.
Communication/Technology
In order for campers to fully adjust to camp life and immerse themselves in the camp community, campers will not be allowed to place or receive phone calls, except in the event of an emergency. Parents may contact the Camp Moms for updates on their child’s progress and can expect an update within 24 hours of initial contact.
All tablets, phones, smart watches, video game consoles, and other electronic or Wi-Fi enabled devices are strictly prohibited at camp. For the protection and privacy of all campers, please do not pack these items. Unapproved devices brought to camp will be collected and mailed home at the family’s expense.
River Way Ranch Camp strongly discourages families from sending phones, as they interfere with the camper experience as intended. If a family chooses to send a phone for travel, it is at their own risk. The camp will not assume responsibility for lost, damaged, or stolen devices.
Campers arriving by airline may use their own cell phone during transit; however, it must be turned in immediately upon arrival at camp. Failure to turn in cell phones upon arrival to camp will result in disciplinary action, up to and including dismissal from camp without a refund of any tuition paid. Phones will be stored and returned at the end of the session. Phones will not be charged while in storage, except when required for campers traveling home by airline. River Way Ranch Camp reserves the right to confiscate any phone during travel if a camper is using it inappropriately or in a manner deemed disruptive, unsafe, or inconsistent with camp values.
If both parents/guardians will be away from their residence for an extended period during the session, they must notify the Camp Director in advance with their itinerary and updated contact information in case of emergency.
Personal Property
Activities Risk, Liability, Medical Treatment and Consent
I understand and acknowledge that certain activities, whether or not listed in the camp brochures or on the website (including, but not limited to: horseback riding, water skiing, motorsports, paintball, sports, etc.) have an increased risk of injury or harm. I further acknowledge and state that I assume full responsibility for my camper’s safety and well-being while he/she is participating in such activities. I hereby agree to release, defend, indemnify, and hold harmless Western Camps, Inc., River Way Ranch Camp, and all their shareholders, officers, employees, agents, and representatives whatsoever from any claims, costs, expenses (including attorney fees), and/or damages which any of them may sustain or incur from my child’s participation in such activities. I understand that a number of my camper’s activities will involve swimming and various watersports. I certify to you that my camper can swim adequately to participate safely in such activities, and that my camper suffers from no physical or medical condition which would make their participation unsafe or unusually dangerous to my camper or others.
I hereby give permission to the physician selected by the camp to secure and administer treatment, including hospitalization for my child. I hereby authorize and give permission to the camp to provide, seek, and consent to routine health care, administration of prescribed medications, and emergency treatment for my child, as may be necessary, including, but not limited to x-rays, any medically necessary tests or diagnostics, all required medical treatment as recommended by a medical professional (whether routine or emergency) and/or any hospitalization. I also give permission for the camp to arrange related transportation. I agree to the release of any records necessary for treatment, referral, billing, or insurance purposes. I agree to pay all costs associated with any medical care and/or transportation and related expenses.
Communicable Illness & Health
We want to make clear that we cannot promise or guarantee that COVID-19 or any other pathogen will not enter camp, and that by the very nature of the personal interaction that takes place in the camp environment, there is always a risk of your child becoming ill with this or any other communicable disease. We want you to be fully aware of this risk in making the decision to send your child to camp this summer, and that you are willing to assume and accept the responsibility on your child’s behalf. In the event that a camper is sent home due to illness or injury, no refunds will be available. River Way Ranch Camp strongly advises parents to purchase Cancellation and Trip Insurance plans (not offered by River Way Ranch Camp or its affiliates) in the event that your camper becomes ill or injured either during camp, to where they can no longer continue on in the program, or prior to the start of the program and cannot attend camp.
A health examination form, completed by a physician, must be submitted by the due date as listed in these Terms and Conditions. Due to the active nature of our program, no child can be permitted to participate in the camp program without a completed health examination form, as well as a signed, completed Parent Authorization to Treat form. I, the undersigned, agree to notify the River Way Ranch Camp office if my child has been exposed to any communicable disease within 14 days prior to their arrival to camp.
Food Allergies
Despite best and diligent efforts, River Way Ranch Camp cannot guarantee an environment that removes all traces of potential allergens. We work to identify all campers and staff with food allergies or intolerances, but we cannot fully control cross-contamination, changes in formulations of food products and their substitutions, or food choices campers make as they build their meals.
We do not use nuts or nut oils in camp recipes; however, we are not a nut-free camp, as we do serve peanut butter in individual, sealed, single-portion containers. We also serve granola bars, candies, snacks, breads, and desserts that may have been manufactured in a facility where nuts are present. While we emphasize handwashing after the consumption of peanuts, we do not have any dedicated nut-free dining areas. We encourage families to speak to a camp director prior to enrolling with any concerns regarding food allergies and/or meal service.
On-Site Response and Definitive Treatment
River Way Ranch Camp is located at 6450 Elwood Road, Sanger, California. Families of campers with unique or significant medical needs must understand the medical care available at camp and the distance to definitive treatment.
River Way maintains an onsite Health Center staffed by at least one licensed nurse, with a physician on-site or on call. Medical personnel are trained to provide first response care, which may include administering commonly prescribed emergency medications such as epinephrine, diphenhydramine (Benadryl), and bronchodilators (inhalers).
Definitive hospital care is approximately 35 minutes away by ground ambulance. Emergency helicopter transport is available when conditions allow, with a designated landing zone located on the camp’s soccer field or parking lot. Response times may vary and delays are possible. For this reason, camp may not be safe for all individuals with significant medical conditions.
An in-depth medical discussion and individualized care plan must be completed prior to attendance for any camper with ongoing, unique, or significant medical needs. Families are required to:
-Submit all relevant and up-to-date medical forms prior to camp attendance, including physician care plans where applicable.
-Provide all prescribed medications and ensure they are available at camp, either in the Health Center or, when approved, carried on the camper’s person.
-If a camper is to self-carry and self-administer emergency rescue medication, written parent/guardian authorization must be on file with a physician’s note.

Parent/Guardian agrees to submit all mandatory forms by the required due dates as follows:

Should a camper be enrolled after the required forms due dates, the parent/guardian agrees to submit the required forms within 7 days of application submission and prior to their child’s arrival.
